Administrative Assistant
Summary
The Administrative Assistant supports the firm's financial operations and general office functions by managing client communications and ensure compliance with policies, processing invoices and bills, maintaining financial records, scheduling appointments, coordination of office supplies and providing administrative support for accounting tasks like bookkeeping and payroll. The Administrative Assistant works with Accounts payable and accounts receivable, and provides general support to accountants, managers and partners.
Responsibilities
ยท Answer phones and monitor the front door while completing tasks at multiple workstations across three floors.
ยท Format Word and Excel content, merging into paginated PDF final files and producing bound reports for the audit team.
ยท Process monthly and quarterly payroll reports and prepared tax returns according to detailed procedures.
ยท Maintain accurate client document records in secure digital systems; ensure documents are properly filed, scanned, uploaded, and retained.
ยท Provide appropriate digital records access to clients, as requested by accountants.
ยท Respond promptly and professionally to employee and client questions.
ยท Protect confidential client information and perform other duties or special projects as assigned.
Experience Requirements
Required Qualifications
ยท High school diploma or equivalent.
ยท Proficiency with Microsoft Office.
ยท Strong data-entry, problem-solving, organizational, and time-management skills.
ยท Demonstrated accuracy, follow-through, sound judgment, and ability to prioritize recurring and urgent work under firm deadlines.
ยท Clear written and verbal communication, professional customer service, and effective collaboration across departments.
ยท Ability to work independently, learn systems and policies quickly, and handle sensitive information with discretion.
Preferred Qualifications
ยท Three or more years of experience.
ยท Advanced Excel skills.
ยท Experience with Thompson Reuters Onvio digital document retention platform.
